Terms and Conditions
These Terms and Conditions (“Terms”) govern the provision of interpreting, translation and related language services by TranslateUK (“we”, “us”, “our”) to any individual or organisation (“you”, “your”, “the Client”) who engages our services. By booking a service, submitting a document for translation, or otherwise instructing TranslateUK, you agree to be bound by these Terms.
Please read these Terms carefully. If you do not agree with any part of these Terms, please contact us before proceeding with a booking.

TranslateUK is a member of the Association of Translation Companies (ATC) and holds ISO 9001:2015, ISO 18841:2018 and ISO 17100:2015 certification.
2. Our Services
TranslateUK provides professional interpreting and translation services, including but not limited to face-to-face interpreting, remote and telephone interpreting, document translation, and certified translation. A full description of our services is available on our website.
We will use reasonable care and skill to provide an interpreter or translator suitably qualified and experienced for the nature of your assignment. While we make every effort to fulfil all bookings as confirmed, our services are subject to the availability of suitably qualified interpreters and translators at the relevant time.
3. Bookings and Confirmation
All bookings must be made by telephone, email, or via our website. A booking is only confirmed once you have received written confirmation from TranslateUK, including the date, time, location (or platform, for remote/telephone interpreting), language, and any agreed fee.
It is your responsibility to ensure all information provided at the time of booking is accurate and complete, including the correct language or dialect required, the nature of the appointment, and any special requirements.
4. Fees and Payment
Our fees are quoted on a per-assignment basis and depend on the service required, the language, the duration, and the location. A formal quote will be provided before any assignment is confirmed unless otherwise agreed.

Where payment is not received within the agreed terms, we reserve the right to charge interest on overdue amounts and to suspend further services until outstanding invoices are settled.
All fees are quoted exclusive of VAT unless stated otherwise. VAT will be added at the prevailing rate where applicable.
5. Cancellations and Amendments

If you need to amend a confirmed booking, including changing the date, time, location or duration, please contact us as soon as possible. Amendments are subject to interpreter or translator availability and may incur additional charges.
If an interpreter or translator is unable to attend or complete a confirmed assignment due to circumstances within our control, we will use reasonable efforts to provide a suitable replacement at no additional cost, or offer an appropriate remedy.
6. Quality and Accuracy
TranslateUK is committed to providing accurate, professional interpreting and translation services in accordance with our ISO 9001, ISO 18841 and ISO 17100 accreditations. All translations are quality checked by a second qualified linguist prior to delivery, in accordance with our standard quality assurance process.
If you believe a translation or interpreting service has not met the required standard, please notify us within a reasonable time of the service being delivered so that we can investigate and resolve the matter in accordance with our Complaints Procedure.
7. Confidentiality
TranslateUK and all interpreters and translators within our network are bound by strict confidentiality obligations in respect of any information disclosed during the course of an assignment. Please refer to our Code of Conduct and Ethics and Privacy Policy for further detail on how we handle confidential and personal information.
8. Intellectual Property
Unless otherwise agreed in writing, you retain ownership of any documents you submit to us for translation, and of the resulting translated document, once payment has been received in full. TranslateUK retains ownership of any proprietary processes, methodologies, glossaries or translation memory tools used in delivering our services.
You confirm that you have the necessary rights and permissions to submit any document to us for translation, and that doing so does not infringe the intellectual property rights of any third party.
9. Liability

Nothing in these Terms shall exclude or limit our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability which cannot be excluded or limited under applicable law.
We shall not be liable for any indirect or consequential loss, including loss of profits, loss of business, or loss of opportunity, arising from the provision of our services.
10. Data Protection
TranslateUK processes personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Please refer to our Privacy Policy for full details of how we collect, use and protect personal data.
11. Force Majeure
TranslateUK shall not be liable for any failure or delay in performing our obligations where this is caused by circumstances beyond our reasonable control, including but not limited to acts of God, war, civil unrest, industrial action, severe weather, pandemic, or failure of public utilities or transport networks.
12. Complaints
If you are dissatisfied with any aspect of our service, please refer to our Complaints Procedure, which sets out how to raise a concern and the process we follow to investigate and resolve it.
13. Termination
Either party may terminate an ongoing service arrangement by providing reasonable written notice to the other. TranslateUK reserves the right to suspend or terminate services with immediate effect in the event of non-payment, a breach of these Terms, or conduct that places our staff, interpreters or translators at risk.
14. Governing Law
These Terms and any dispute or claim arising out of or in connection with them shall be governed by and construed in accordance with the laws of England and Wales. Any dispute arising under these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
15. Changes to These Terms
We may update these Terms from time to time to reflect changes in our services, legal requirements, or business practices. Any updates will be published on this page with a revised date. The Terms in force at the time a booking is confirmed will apply to that assignment.
